How to Successfully Onboard Your Team

Your team requires proper onboarding so that you can fully use the software and make the most out of their performances.

Our customers often complain that they miss to onboard their team to utilize time tracking software. And so we collected feedback from our users on what went wrong.

Here are ten slips that cause time to track implementation to fail. If you see at least one mistake that corresponds to the process of implementing time tracking in your company, it’s time to reevaluate and change it.

  1. We didn’t explain why it is essential to track time

Executing time tracking in a company always has a basis. It can be to track employee’s working hours, and how they utilize their time during work, it can be to record leave and attendance, to make sure that the budget for specific projects is not being exceeded, etc.

No matter what the case is, it’s always for the welfare of the company and its employees. That’s why you should explicitly communicate why you’re going to be utilizing time tracking so that everyone understands it. So when you call your workers in the midst of the night and question them why you exercise time tracking in your organization, they will respond to you even having their eyes closed.

  1. We didn’t all agree on the precise structure of projects and jobs

Time tracking works well only when it is adequately addressed. Simply stated, there has to be a centralized system of every worker which will make it clear how projects and tasks should be approached.

How should projects be categorized into tasks? Which projects and jobs should be given as trackable? How will they be designated to people? These are just a few basic questions that should be required when adding new projects or tasks.

One of the most significant mistakes is appending all projects to time tracking software and keeping a few of them inactive. It can then create a mess. Timesheet report with all tasks.

  1. Everybody could add new jobs and projects it was a mess

Let’s combine everything your staff does to the list of tasks and projects – lunch break, coffee break, time for cleaning the desk, writing a new email, conference call… While it’s essential to track time for tasks included in a project, time tracking software shouldn’t be dealt with as a personal task manager.

The mess in tasks and projects can be easily avoided by assigning the duty to one person for creating new ones, for instance, a project manager or the head of the department. It will serve to keep order and clarity as well as the efficacy of the team.

  1. We didn’t explicitly tell that this is an obligation

If you don’t say to your workers that time tracking is necessary, they will treat it as another useless task. It’s imperative that they treat it as their daily work obligation, not a voluntary task.

  1. They didn’t see clear benefits – people have never understood how valuable the timesheet reports are

Do your workers know all the advantages coming from implementing time tracking? No? That’s presumably because you’ve never told or explicated them.

People often just do the work, but they fail to see the bigger picture. Show them how it timesheet reports serve your company stay on track, make sure the resources are under control, and how easy it is to manage attendance with them. These are just a few of primary advantages. There’s much more to it!

  1. No single person was responsible for this execution to succeed

You should hire one person in your organization who would take care of time tracking implementation. And later such a person would manage time tracking on a regular basis. It will ensure that employees obey the rules of monitoring their work and everything works seamlessly.

Plus, it will help to avert chaos and misinformation. You can’t expect everybody to utilize time tracking on their own, particularly in a large organization.

  1. We didn’t check how people are filling out their timesheets – every single week with approvals

Timesheets are a head-on, but they are important. Even though time tracking helps to reduce the tiresome work of filling them, it doesn’t imply it’s perfect.

Before they’re approved, they should always be reviewed by the project manager regarding accuracy. Even the slightest mistake can have adverse outcomes.

  1. We didn’t share best practices of how to track time

Many proven time management practices are there which apply to time tracking. Ensuring people practice them is going to add to the better performance of the software. As a result, your workers will not only be able to allocate their time correctly but will also become highly productive.

  1. We didn’t have a definite image of what a classic timesheet looks like

What do you want your ideal timesheet to look like? Do you want it to add billable or non-billable hours; or maybe both? Should it show the projected growth, budget, and specific time of work?

Timesheets can have different forms, but if you unify them for all employees, it will be easier to get a crystal-clear image of how long, when, and how employees work. That’s why they should apply time tracking in the first place.
