Databean is a research organization which helps startups working in medtech and biotech fields. The organization’s primary focus is clinical trials and approval of their products by the regulatory authorities such as FDA. They help the products mature and make it to the final stage by providing a smooth regulatory path and strategy to market it. Some services offered by them are; classifying the devices, create intended user statements and labels, create trial design processes, find the right vendors, perform QMS audits, create safety reports. Each clinical trial finds answers to an end stage disease for its prevention and diagnoses. To achieve that, a correct and a well-defined protocol should be followed which involves, scientific and IT knowledge, regulatory and clinical expert opinion which Databean aims to provide with its experienced project managers.
CHALLENGE: THE COMPLEX NATURE OF THE WORK AND MANAGING THE HUGE CLIENTELE
Every product which comes through must have a complete set of guidelines of usage, approval from the relevant authorities such as FDA, IRB and Authorization to hold a clinical trial before it reaches the market. This is a long and tedious process which involves an entire team of managers and executives working on the development of a single product. The project duration varies for this reason and the budget must be in check regularly, to not to surpass its constraints. The challenge for Databean was streamlining all the processes and keeping track of each development. One of the employee shared, “Our firm is involved with managing clinical trials, and as such, are open to audits all the time. Our records must be very precise and very detailed.”
SOLUTION: TIMELIVE – AN EASY TO USE SYSTEM MADE FOR THE ENTIRE ORGANIZATION
Databean needed a software which the entire organization could use hassle free. TimeLive was easily installed at their workplace and with minimal training to the employees the software was kickstarted. It has given the employees immense flexibility to record their work timings. When assigned to shorter task, some employee use the Time button to record it while others working on short duration products enter the time manually. After all, this was only consequential because of TimeLive’s team support, on which one of their managers commented, “Customer Support has been amazing. Whenever I had a question about setting something up or running reports, they responded immediately. Usually it could be explained in a quick email, sometimes they showed me how to do things remotely. 100% of the time, they resolved my issues.”
Because of busy schedules, the adaption rate of the software is low, “I know I still have a lot to learn to utilize the program to its fullest potential, but we were up and running quickly with minimal resistance from the new users.” A Timelive user shared.
Not only did TimeLive match Databean’s requirements but was light on the pocket.
“Pricing for us was less expensive than what we were currently paying for our online expense report solution, plus we get the benefit that our users can do both timesheets and expense reports all in one program. A win-win all the way around.” The happy organization shared.
Among other contented user the accounting department’s perspective were considered, “The reporting is what sold us on the product. Reports are very easy to customize to your needs, for your client’s needs, for auditor’s needs. It will speed things up when invoicing our clients at the end of the month.”
In a nutshell, “All in all, we are very happy with our purchase. If I had one suggestion to make, it would be to improve the documentation to include better explanations for each line of data entry. This way the customer understands not only the “how", but the “why" that field may or may not be critical for their circumstance.” Concluded team Databean.
